Managing an SME in a participatory way

Q.wiki success story by Daniel Ritter, Director Quality & Environment Management at m2p-labs

About m2p-labs GmbH

m2p-labs develops special microbioreactor systems for the life science market to enable researchers to efficiently develop bioprocesses. The patented technology can be used for screening, microbial microfermentation and automated processes. The analytical instruments are used in well-known research and industrial laboratories worldwide.

The challenge ahead of Q.wiki

The development and production of our microfermentation systems is characterized by small series. Every day we work on making them more economical, more industrial and more perfect in terms of results. The organization and also the integration of the knowledge of all employees in our company are indispensable for this.

For some time, we have used individual work instructions, roughly sketched processes and an enormous number of Excel spreadsheets. To be honest, this was not really enough. And sooner or later, it would no longer have met our expectations. Too static, too rigid.

Challenge: How do I document my management system?

Find the right management software: Q.wiki

The decision for Q.wiki

We were looking for a sustainable solution and chose Q.Wiki. We liked the approach: An interactive management system, which is a daily updated image of the organization and a high-quality, process-oriented information portal for the everyday life of all employees.

At about the same time, we also started preparing for certification according to ISO 9001:2008. With Q.Wiki, we structured the grown and lived processes and standardized them as far as sensible. Since then, the described processes have been continuously enriched with knowledge and experience.

The results of Q.wiki

If you look at the usage accesses in the system today, I sometimes ask myself how we managed it in the past. At Q.Wiki we didn't have any trouble with the software, nor did we have to motivate our employees to get involved. Things came almost by themselves.

The documentation and subsequent certification according to ISO 14001:2009 in 2014 was easily implemented by Q.wiki within the company. Likewise, the adaptations in 2017 to the requirements of ISO 9001:2015 and ISO 14001:2015 with its HLS (High-Level-Structure) were quickly implemented. Over the years, additional applications for auditing, key figure monitoring, risk management and task tracking were added. Today, we can measure process performance and systematically identify and improve any need for action.

Today, Q.wiki is a powerful tool for us, which serves quality management and environmental management excellently as well as involving all persons in the company in a participative way in agile process management. These are ideal prerequisites for jointly advancing our company in a process- and goal-oriented manner.

Q.wiki has proven to be particularly successful for us in the following areas

  • process management
  • document control and documentation maintenance
  • audit management
  • interface management
