Before 2019, our documentation — and the documents themselves — were scattered across various storage locations. Some were kept centrally, but many were hidden on local drives within individual departments. Our management handbook wasn’t process-oriented; it was structured by topic.

This made it difficult to locate critical information, led to duplicated content, and created unclear responsibilities at the interfaces between departments.

Over time, it became clear we needed a more systematic way to manage our growing volume of information. We aimed to consolidate all rules and documentation into one central, easy-to-maintain location — and we had a clear goal in mind:

We wanted to move away from siloed, departmental thinking and instead foster cross-functional process thinking, with clearly defined handoffs between teams.
