The starting point – why change was needed

The existing management system fell short of expectations: centrally managed, created by a handful of modeling experts — but hardly relevant in daily business. On the shop floor it was used only sporadically, in administration almost not at all. Best practices never made it back into the model, so there was no operational benefit. Audits created high additional effort with endless questions and email loops. Knowledge transfer stalled, department heads were dissatisfied, and the executive team had little connection to the system. After the 2024 audit, WEBER drew a clear conclusion: time to launch Q.wiki.

Where we stood:

  • Usage: Processes were rarely applied — occasionally in production, hardly at all in administration.
  • Knowledge flow: Best practices didn’t find their way back into process models.
  • Audits: High workload due to outdated content, questions, and email exchanges.
  • Consequences: Blocked knowledge transfer, low acceptance, weak connection to management, and little added value.

What we set out to do

  • Introduce Q.wiki: Build a collaborative, living management system for everyday use.
  • Integrate standards: Combine ISO 27001, TISAX, ISO 14001, and ISO 9001 into one system.
  • Align with SAP transformation: Closely synchronize the upcoming ERP rollout with the management system.
  • Update processes: Adapt responsibilities, interfaces, and tools after restructuring so processes are easy to find, understand, and apply.

The decision for Q.wiki — transformation into a living management system
WEBER chose Q.wiki as its interactive management system to provide knowledge exactly where it’s needed, actively involve employees, and enable scalability for an integrated system. Key reasons included:

  • A uniform, easy-to-understand process structure that encourages participation
  • End-to-end risk assessment and project management within the system

Implementation – WEBER x Modell Aachen

WEBER introduced Q.wiki in close partnership with Modell Aachen in remarkably short time. Led by project manager Stefan Floßmann, supported by Peter Auer, and backed by strong sponsorship plus an interdisciplinary team of 15 colleagues, the project kicked off on June 6, 2024.

After a compact setup phase with a clear structure, thorough inventory, clarified interfaces, and an introduction to the mechanics of interactive management systems, the official kick-off took place in July 2024. Only eight months later, the system went live.

The project was steered through consistent reporting based on the maturity assurance principle from the automotive world. The team worked LEAN-oriented and by the 80/20 principle: focus on impact over formalities. Q.wiki was given top support priority and significantly accelerated the side project “Optimizing Order Throughput.”

WEBER is proud of both the speed and quality of implementation — but even more of the fact that the system is now firmly embedded in everyday operations.

Q.wiki is actively used and provides quick orientation in daily business. The numbers speak for themselves:

WEBER flipped the switch: moving away from an unused documentation repository toward a living management system that makes daily work easier. With Q.wiki, a clear project architecture, and strong sponsorship, usage, speed, and quality have all measurably improved — true to the motto: the transformation into a living management system.
