An ode to the interactive management system — report from a genuine user

When it comes to management systems, the relevant trade press almost always only talks about quality managers, process managers and managing directors. Of course, all of these roles and their tasks are extremely important for a company. But it is also a fact that the The vast majority of employees are not managing directors or QMlers is, just like me. And if I'm being completely honest, I'm not particularly interested in the latest revision of ISO 9001 and the corresponding certificate. For effective quality and process management, including a successful audit, our managers depend on the cooperation of each individual. So what does this actually mean for everyone else who is not directly involved in quality and process management?

For the majority of employees, the great added value of quality and process management lies in the management system — if it is properly maintained. These systems simply focus on active exchange between all people in a company; the certificate is just a nice side effect.

Cheat sheet for everyday work

Most of you know this: At the beginning of the working day, you start your PC first. Then you almost automatically open Teams, Outlook, etc. — and in my case, the browser to log in to the interactive management system. New notifications are usually already waiting for me here, which inform about changes in the management system, new tasks or due approvals. On my personal page, I then check which tasks are next: The traffic light system shows me the priority of the respective to-do. I often find the suitable process description or work instruction Already in my saved favorites for the upcoming working day, otherwise I'll find what I'm looking for using the search function.

The process descriptions in the interactive management system are structured like a Cooking recipe, enriched with image and video material and interfaces to other systems. Step by step, they explain exactly what needs to be done and what needs to be considered. Think of it as a very extensive cheat sheet that helps you with all your daily tasks. When I execute it, do I notice that a step in the process description is no longer up to date, or do I find a better way I simply adjust the process directly and ask the process owner for approval via an automatic workflow. All of our team members have this option, which means our Processes always up to date Stay — in everyday working life, it's worth gold!

Task completed? I then close it and automatically inform all colleagues involved about it. Do I still need input from a colleague or do I have a new idea? Then I simply create a corresponding task or information in the management system.

Participation promotes identification

Unfortunately, many companies have not yet received this insight:

Anyone who can actively participate in decisions, contribute their own ideas and also transparently view information from other teams identifies much more with the requirements in the company, is more motivated and therefore works more efficiently. Cross-team collaboration also works particularly well in this way.

Especially when it comes to processes that I don't go through every day, I am grateful for our process descriptions. And honestly, it's a mystery to me why not all companies have already introduced an interactive management system and are working together with the entire team. Because such a system relieves quality managers and process managers immensely — and is also good for all other employees a priceless help.
