In-House Solutions vs. QM Software: To make an informed decision here, however, you need to consider the Total Cost of Ownership (TCO)—that is, not just the license costs, but the total costs incurred over time.

A TCO analysis often reveals that a generic solution like SharePoint, Confluence, or similar alternatives with a few add-ons is actually more expensive in practice than specialized software.

The common misconception: License costs vs. total costs

Since SharePoint is already available in many companies via Microsoft 365, and Confluence is often part of the Atlassian stack, there are no initial acquisition costs. Open-source solutions also sound like they cost nothing at first. While that may be true for the license, what is almost always forgotten is that the license is only a small fraction of the total costs.

Cost driver 1: Customizing SharePoint and similar platforms

SharePoint and similar tools were not built for management systems. If you want to use them to create a digital quality manual, a process portal, or an interactive management system, you have to rebuild the platform from the ground up—either internally via IT or externally through consultants. Both paths involve significant hidden costs.

These are the typical areas that require customization:

• System structure and navigation for processes and documents

• Permission and role concepts for different user groups

• Features for approval workflows, version history, change comparisons, read receipts, process modeling, standard mapping, or risk management

• Interfaces with existing systems

Add-ons and plugins are particularly tricky. Some have one-time fees, while others have recurring costs that drive up operating expenses year after year. With open-source solutions, you also have to factor in hosting and infrastructure costs, which are often overlooked at the start.

Many companies learn this the hard way: internal IT teams are already busy with day-to-day operations, and the management system is rarely at the top of their priority list. License fees represent only part of the total cost. Customization, maintenance, technical support and internal IT resources often account for a larger share of the costs associated with generic platforms such as SharePoint or Confluence.
